Using our website
- What the website is
- Information about MapSorix Care. We keep it accurate, but it isn’t a promise about what the product will do on a particular day — the subscription agreement is what binds us. Prices shown are in Canadian dollars and exclude GST and PST.
If your home subscribes to MapSorix Care
A plain-language summary. The full agreement is sent with the setup form, and that is what governs.
- Your beds
- You pay for the licensed beds on your personal care home licence, at the prices published on our pricing page. The price is in bands and each band applies only to the beds inside it, the way income tax works, so your bill never falls when you add a bed. There is a minimum of 8 billable beds, and a home with more than 100 beds is quoted rather than bought online. The app lets you keep as many current residents as the beds you pay for. If your home grows, an administrator can change the bed count from Settings at any time; you pay the difference for the rest of the billing period. One payment can cover up to 10 homes, which then share a subscription and an invoice, with their beds added together.
- Paying
- You pay monthly or yearly, in advance, by credit card through our payment provider, and the subscription renews automatically until you cancel. Prices are in Canadian dollars, plus applicable taxes. Your first payment is taken when you buy. An amount not paid when it is due carries interest at the prime rate plus 2% a year; there are no late fees. Paying yearly costs less a bed than paying monthly. MapSorix Care reminds you before each payment, and 30 days before a yearly renewal.
- Training and visits
- More training after your home goes live, a visit to your home and other extra services are quoted in writing with one total, at the prices on our pricing page, and paid in full before they are booked, by card online or by Interac e-Transfer. Your administrators ask for them in MapSorix Care, under Settings. A quote is open for 14 days. To move a booking, tell us at least 48 hours before; with less notice you can move it once at no charge, and after that the fee is kept.
- If a payment is missed
- MapSorix Care becomes read-only straight away: staff can still view, print and export every record, but can’t add or change anything. This is so nobody records care in a period that hasn’t been paid for — it isn’t a penalty. We let your billing contact know, and the payment is tried again. When it goes through, full use comes back at once. If nothing is paid within 90 days, sign-in closes until you pay or move to the Records Archive. Your records are kept safely, as the law requires, and never deleted because a payment is missed.
- Cancelling
- Cancel any time in Settings. Your subscription ends at the end of the period you’ve paid for: the end of the current month if you pay monthly, or the end of the paid year if you pay yearly. You aren’t charged again after that, and payments already made are not refunded, except in the few cases the full agreement sets out, such as when we end a subscription early. After your subscription ends your staff get 30 days of free read-only access to download your records; after that sign-in closes, and you can keep read-only access for all your staff with the Records Archive ($19 a month).
- Your records
- Your records belong to your home. A personal care home is expected to keep resident records for at least 10 years after a resident’s last care, unless its own retention schedule says otherwise, so we never delete them because of a missed payment. When your home asks in writing, after its retention period, we remove the records from MapSorix Care, and the backups that still hold them expire within 35 days. The audit trail of who did what is kept as part of your home’s record. Its entries about the removed records still show who did what, when and to which record, but what they said is taken out, and each one is marked with when and why. The check that your home’s audit trail is complete still passes afterwards.
If you use the app
Your care home holds the subscription. These are the conditions of using MapSorix Care — they are not a contract between you and MapSorix.
- Your sign-in is yours
- Never share your password, PIN or authenticator app, and never sign in as someone else. Everything done under your sign-in is recorded in your name — including the care you record and the hours you are paid for.
- Look only at what you need
- MapSorix Care holds people’s health information. Open a resident’s record when your work requires it, not out of curiosity. Every record you open is logged, and your administrator can see everything you change, print or download.
- Records are permanent
- Doses, vital signs, checklist ticks and assessments can’t be edited or deleted, by anyone. If something is wrong, add a correction — the original stays visible beside it. Editing a care note saves a new version and keeps the earlier one. This is intended: an honest record showing a mistake being fixed is worth more than a tidy one.
- Working offline
- On a home tablet MapSorix Care keeps working without internet and saves your entries on the tablet until a connection returns. Check the sync message at the top of the screen before you finish a shift. If a tablet is lost or stolen, tell your administrator at once so it can be locked remotely.
- Access can be removed
- Your home can end your access at any time, and does when you leave. We may suspend an account being used to reach records without a work reason, or to get around the app’s security, and we tell the home when we do.
If you work at a pharmacy
Your pharmacy agreed to the pharmacy portal terms when its account was opened, and each person accepts them when they first sign in. Those terms, on their own page, govern your pharmacy’s use of the portal; the rest of this page does not.
- In short
- Each person has their own sign-in and never shares it. Use what a home sends only to dispense to and care for that resident. A request from a home is not a prescription. Send a home only documents about its own residents, and tell the home and us the same day if one goes to the wrong home. The portal is free, and a home can end its pairing at any time.
Everyone
- What MapSorix Care does, and does not do
- MapSorix Care keeps records and shows reminders, alerts and warnings to help staff. These are aids, not clinical judgements. Decisions about a resident’s care stay with the home and the people who work there. Never withhold or give care because MapSorix Care did or did not show a warning.
- If MapSorix Care can’t be reached
- MapSorix Care runs on hosting and internet services, and like any online service it can sometimes be unavailable. Home tablets keep working without internet and send what was saved once the connection returns. Every home keeps blank daily medication records, printed from MapSorix Care, at each medication cart, so care can be recorded on paper whenever the app can’t be used. We aren’t responsible for an interruption, or what it causes, when it comes from something outside our reasonable control, such as a failure of our hosting or internet providers, or of the home’s own internet connection or power.
- Our responsibility
- If something goes wrong and it is our fault, what we owe a home is limited to the greater of the fees it paid us in the 12 months before and $10,000. If it is a breach of the information the home keeps in MapSorix Care that we caused, the limit is the greater of three times those fees and $50,000, and includes the reasonable cost of telling the people affected. The limits don’t cover fraud, deliberate wrongdoing or gross negligence. Care given or not given is the home’s responsibility, and the home answers any claim about it, unless we caused it by breaking our agreement. The full agreement sets this out. These terms are governed by the law of Saskatchewan.
- Changes
- If we change these terms we post the new version with a new date, and email each home’s administrators and billing contact before the change takes effect, saying what changes and when. We give at least 60 days’ notice. A home that doesn’t accept a change may cancel before it takes effect, with a refund of what it paid for the time after, and its export period intact.
